Responsibilities
- Oversee and manage administrative and general affairs functions for the Singapore office.
- Act as the main liaison with Japan HQ to ensure effective communication and alignment.
- Prepare, consolidate, and submit regular administrative, operational, and management reports to HQ.
- Coordinate internal approvals, documentation, and reporting timelines.
- Support management in administrative planning and execution.
- Handle office administration matters including contracts, vendors, facilities, and supplies.
- Collaborate with finance, HR, and other departments to ensure accurate reporting.
- Ensure compliance with company policies and local regulations.
- Support ad-hoc tasks and projects as assigned by management or HQ.
Requirements
- Minimum 5 years of experience in administration or office management.
- Proficiency in Japanese for liaising with Japanese-speaking stakeholders and HQ.
- Prior experience working with or reporting to Japan HQ is highly preferred.
- Strong reporting, coordination, and documentation skills.
- Good understanding of corporate administration processes.
- Excellent communication skills.
- Proficiency in MS Office (Excel, Word, PowerPoint).
- Familiarity with regional reporting structures and HQ coordination is an added advantage.
