Secretary (Japanese speaking)

Responsibilities:
- Provide secretarial support to assigned partners, including document preparation and scheduling meetings, appointments, and business trips.
- Maintain and update client files and records.
- Prepare and issue invoices to clients.
- Translate documents, emails, and communications as required.
- Support various secretarial tasks requested by management and lawyers.
- Handle office administration and facility matters, including liaising with landlords and service providers.
- Coordinate with suppliers for office-related subscriptions, courier services, pantry supplies, stationery, and other items.
- Arrange accommodation, transport, and dining for guests and staff.
- Liaise with external authorities and service providers on operational matters.
- Assist with basic IT troubleshooting and coordinate with IT teams or vendors.
- Support accounting-related matters in collaboration with internal finance or accounting firms.
- Organize company seminars, events, and corporate functions.
- Manage client relationships to support business operations.
- Ensure smooth day-to-day operations of the office.
Requirements:
- Minimum 3 years of experience in secretarial and/or administrative roles.
- Proficiency in Japanese language for liaising with Japanese-speaking clients and stakeholders (JLPT N1 preferred; N3 accepted).
- Business-level proficiency in English for liaising with English-speaking clients and stakeholders.
- Proficient in MS Office applications, including Word, Excel, and PowerPoint.
- Well-organized, positive, proactive, and a strong team player with a willingness to learn.
- Experience working in a law firm as a secretary or administrator is an added advantage.
